Setting up events
Adding
Events can be added manually in the event setup screen, click on the drop down menu on the left and then click on create new event. It is necessary to name an event, note this should be something meaningful and does not have to be unique, but if an event happens multiple times, e.g. Morning seminar, then it would be useful to name it as Morning seminar day 1. You then need to choose what place this event is in, and the times at which it occurs, the times are in the timezone that your console is set to. It is not possible to create an event without any places defined, so if you have not created places, then please do that step first.
Importing
Events can be imported from a CSV that are in the following format
name,place,start,end
Places must be defined before trying to import any CSVs as we validate all of the places, and places can only be created if they have beacons, so it is not possible to set up events before beacons have been deployed. When importing a CSV it is necessary to indicate what time zone offset should be applied, as the system works it UTC time, if times are provided in UTC then the offset given should be 0.
Editing / Deleting
Events can be deleted and edited on the event setup screen
Editing
Events can be edited if the event times or place have changed, hovering over a row will display a pencil icon and clicking on this will allow you then make changes to the event. You will then have to click save for the changes to be applied. If an event has completed then and data has been generated for it, then this data will no longer be available following any changes. It is therefore recommended if you want access to the old data to create a new version of the event.
Deleting
To delete one or more events select each event, either clicking on the row or within the checkbox at the start of the row. The delete button will then become enabled indicating how many events will be deleted. Then click on delete and confirm that you wish to delete the events.
Event Attendance Reports
Viewing / Downloading attendance for a single completed event
You can view the attendance for a single event in the Analytics - Delegate Tracking - Event attendance, you can then filter events by their places or by searching. Once you have found the event you want to view the data for click on the row and the data will then load. Clicking on 'Download' within the expanded row will then download a CSV of all of the data for that single event.
Viewing / Downloading attendance for a single in-progress event
If an event is in progress then it is possible to generate an interim report, expanding the event row will show a button to generate an interim, clicking this will then generate a report and the results should be returned back within 10 seconds. It is possible to download this data the same as a completed event.
Downloading attendance for completed events
Once an event is complete, you can download the attendance list as above.
The system also allows you to export a CSV of all completed events, this will not include any interim reports that may have been generated. The download all events button appears at the top of the events page within Analytics - Delegate Tracking - Event attendance
